How to Organize a Mission Trip

      Decide where you will go on your mission trip and the type of ministry your team will be doing, such as construction or children's outreach events. Select the dates for your trip and create a budget for both the team and individuals up to a year before you go. Consider passport and visa fees, airfare and other transportation costs, including cars, buses, trains and taxis, food and housing. Factor materials for your ministry, like building supplies, crafts for children's programs or first aid for medical mission trips, into your budget.

      Offer sign-up opportunities for anyone interested in going on the mission trip. Instruct the participants to begin raising personal financial support and give deadlines for payment installments. Plan and schedule team activities to raise money over the coming year, such as yard sales, car washes and silent auctions.

      Purchase airline tickets and make bus reservations approximately six months before your trip. Book hotels, hostels, mission houses or campground sites, depending on where your team will be staying. Give materials to your team to study in preparation for the trip. Include information about your destination and target audience along with materials for personal spiritual growth. Begin collecting gear, like cooking equipment and building materials, for your trip.

      Provide a packing list to each mission trip participant one month before departure. Assign ministry group responsibilities such as a cooking team, praise team and activities team. Begin meeting weekly to practice skits and music, give support-raising updates and to work on team-building exercises.

      Arrive on time the day of the mission trip. Collect all necessary paperwork and any remaining payments. Confirm that each participant has proper identification and documentation if you are leaving the country.
